Responsibilities of this new role:
Full office management duties, including reception duties; supplier, service providers and landlord management; facilities and events management
Reception duties – meeting and greeting, providing refreshments
Booking transport, accommodation restaurants and entertainment bookings
Organising and scheduling meetings and appointments
Maintaining the condition of the office and arranging for necessary repairs
Organising the office layout and maintaining supplies of stationery and equipment
Providing support to lawyers – postage, couriers, document binding, copying and faxing
Dealing with correspondence
Using a range of software, including email, spreadsheets and databases, to ensure the efficient running of the office
Preparing letters, presentations and reports
Managing office budgets
Ensuring health and safety policies are up to date
Assisting the organisations HR function by keeping personnel records up to date, arranging interviews and organising induction programmes for new employees, etc
Maintenance of brand guidelines
Client onboarding and “KYC” – KYC checks, credit checks, preparing letter of engagement with the support of a lawyer, account and document management
Management of organisation of legal contracts on the IMS
Strong experience in a similar office manager position, ideally 2-3 years
Some experience with basic HR functions and duties
Must be an all-rounder, ability to juggle many tasks at once
Self-motivated and 'can do approach'
Eager to think outside the box, better the workplace and current systems
Ability to mix well and socialise with the team
Hard worker and trustworthy
Willing to take on any task required
Knowledge of office management responsibilities, systems and procedures
Reliability and discretion: you will often learn of confidential matters
Good communication skills (verbal and non-verbal)
Proficient in MS Office
Knowledge of accounting, data and administrative management practices and procedures
Problem solving skills
The ability to ‘make things happen’
Attention to detail
Excellent time management skills and ability to multi-task and prioritise work
